When Heather joined Removery back in 2022, she saw a business in growth mode with no signs of slowing down. As a Procurement Specialist turned Financial Analyst at Removery, she realized there were opportunities to bring structure to the company’s procurement and financial processes.

At the time, the team was using multiple vendor accounts and ad hoc purchasing workflows. Employees had to remember which vendor login corresponded with which product, causing confusion and challenges when training new team members. “With startups, you're trying to figure everything out,” Heather explained. “If you need gloves, printer paper, and marketing brochures, you're gonna have to go to McKesson and then Weeks Lerman and then Creation Station. It just became this long, tedious list.”

Without a standardized system, teams requested products through email – sometimes to multiple employees without their knowledge. “Somebody might need a replacement treatment bed,” Heather described. “They'll reach out to me, and then to somebody in construction. We don't know that they've reached out to several people, so we both ordered a treatment bed, and they received several treatment beds.” As a result, Heather had to spend her time coordinating a return with the vendor while an extra treatment bed took up valuable space in the studio.

Managing multiple vendor logins and manual purchasing workflows across teams at 130+ locations proved increasingly overwhelming and error-prone. It became clear that Removery needed a system that could scale with them.

The Solution

Heather started searching for a procurement software that could both simplify purchasing and reduce the number of bills their accounting team received every month. She evaluated several tools, including Procurify, JLL Marketplace, and Fraxion, but struggled to find one that met Removery’s needs – until she found Order.co. “Other [platforms] seemed more rigid and were either made for small companies or much larger companies,” Heather explained. “Order.co was a good in-between because we were still small but growing, and it allowed a lot of room for that.”

Heather highlighted that the platform stood out not just for its functionalities, but for the team’s ability to evolve as Removery grew. “When we were talking with [Order.co’s] sales team and giving them some ideas, they were like, ‘We can do that,’ or ‘Let me check and see if that's on the road map.’ They were willing to work with us and see if we could make it fit better, and that was perfect,” Heather said.

After implementing Order.co, the Removery team standardized purchasing and centralized approvals across departments, reduced confusion, and improved ordering autonomy. “It's tremendously helped us clean up [the approval] process instead of emailing one person, then asking another person, and then we'll ping pong until somebody gives the thumbs up about it,” Heather said.

Keeping these workflows organized empowered teams to spend time on higher-value tasks. “Instead of spending more time behind the computer and switching between apps, [teams at the studios] are able to work with clients more,” Heather shared. “And, our operations and regional managers are able to work with their studio staff more instead of having to chase approvals.”

A consolidated view of purchasing across teams and locations also eliminated the risk of double ordering. With this newfound visibility, Heather and her team could protect their budgets and ensure that each studio received exactly what they needed – no more, no less.

With live budget tracking, Removery can stay ahead of the numbers and proactively resolve potential issues. Heather explained, “Now, we can just filter through medical supplies and see exactly what's been spent. The budgeting has helped give immediate insight instead of waiting for a report at the end of the month.”

The platform also helps Heather keep a close eye on how the team spends across categories specific to the business. “With our laser supplies, it helps us get a quick overview of spend in these categories. If it's higher than normal, we can investigate if there is some kind of issue. It's given us a lot of insight very quickly instead of having to dig through all the data,” Heather described.

Historical reporting has also empowered Removery to forecast future needs with confidence. “With historical data, we can export all of the items, pull them into Excel, and gain additional insight. It's been a very important part of forecasting our expenses for the studios,” Heather shared. These key features help Heather plan more accurately for future studio openings, adjust budgets as the business grows, and ensure every dollar is spent with intention.

As Removery continues to grow, Order.co has scaled with them, offering new features when they’re needed most. “[A feature we requested was] coding for budgets,” Heather explained. “We have our regular studio supplies, but then we also wanna know what isn't regular supplies that's being spent. Can we have a separate budget for that? As soon as I reached out to my account manager, he said, ‘Good news. It’s live this week.’ It's like we've read your mind. It's already done.”
