The challenge

Ninja Kidz Action Parks opened eight locations in just two years, with dozens more in the pipeline — and each new park made it clear that their existing back-office workflows could not scale with them. “Our purchasing and spend processes were all over the place,” Elizabeth Garcia, Mission Control, shared. “We had seven different platforms our operators were logging into, ordering from Amazon or Vistar, and all of these different places.” Making purchases required operators to remember multiple vendor logins, re-enter delivery addresses and payment information, and then dig through email threads to locate an order’s tracking details.

Floods of receipts piled up across locations, leaving the finance team to track down each one before they could close their books. Although the Ninja Kidz Action Parks team had implemented an expense management platform to automate receipt uploads, it didn’t resolve the problem at its source: “Having the operators maintain so many different receipts from so many different [vendor portals] was hard,” Elizabeth explained. “It's a time-consuming task to even upload all those different receipts.”

Additionally, understanding spend trends across product categories, locations, and vendors required employees to submit all their receipts — which didn’t always happen. “There were a lot of receipts being lost,” Elizabeth recalled.

The solution

Ninja Kidz Action Parks implemented Order.co in May 2025 to build a scalable, standardized purchasing process with built-in guardrails that could resolve the shortcomings of their existing expense management platform. Elizabeth worked with Order.co’s implementation team to load all the products they already buy from the suppliers they trust into one curated catalog. “Custom signs, custom orders from our food and beverage vendors — [Order.co] is able to handle,” Elizabeth shared. “It's not just the big companies like Amazon. We're able to go to those smaller companies too and put them in Order.co.”

The platform’s straightforward implementation process enabled Ninja Kidz Action Parks to place their first order through their controlled catalog in just fifteen days. “The process for setting up Order.co was super easy,” Elizabeth shared. “Very smooth, and didn't require a ton of work on our part either. Our operators love it. Our team loves it. It just made their lives so much easier.”

The checkout process is also a much lighter lift with Order.co. “It's been super helpful to not have to put a credit card number in each time,” Elizabeth shared. “It has all the addresses, details, and delivery times. It's definitely saved a lot of time.”

Once employees request an order, approval workflows give the right teams full spend oversight. Instead of purchase decisions surfacing only when finance receives a receipt, each park’s requests can be reviewed and revised before any money is committed. “AGMs get a sense of control, and they're able to learn the business, how to order, and how to manage spend,” Elizabeth explained. “We still have an operator that does the final approval and makes sure they didn't order 100 bags of chips by accident.”

Additionally, Order.co’s sourcing agent helps Ninja Kidz Action Parks both cut costs and keep shelves stocked by automatically surfacing optimal product alternatives from the platform’s 40,000+ vendor network. “Order.co has found items that we're buying from a vendor at a cheaper rate,” Elizabeth explained. “In other instances, if Gatorade is out of stock, we're able to say, can we order this one instead?”

Automatic expense categorization and faster reconciliation

When operators buy products through the platform, Order.co pays suppliers Net 1 and sends Ninja Kidz Action Park one perfectly coded, consolidated invoice per month. “[It’s] an easier flow on the finance side, not having to get receipts from all these different vendors and different locations,” Elizabeth shared. With centralized, line-item visibility into orders placed across vendors and locations, finance can significantly reduce time spent manually reconciling expenses from various vendor portals.

Seamless onboarding for new teams

When new operators join Ninja Kidz Action Parks, Order.co’s implementation team ensures they can easily learn the platform. “We have five parks that we're onboarding this week, and [Order.co] set up a call with us,” Elizabeth described. “They'll do a quick training video using our platform. It's a good visual for the operators that are coming on because they see the products they will be ordering. It's not me training all these operators now. It's Order.co offering that.”
